Tracelane

See exactly what the kit delivers.

This example was generated from an illustrative intake for a farm mixed-type facility that grows and fresh-cuts leafy greens. It is a real output of the same generator that produces a paid kit, not a hand-written mock. The firm is an illustrative example, not a customer.

1. Procedures for maintaining required records

Drafted from your intake

21 CFR 1.1315(a)(1)

Willamette Valley Greens, LLC maintains the records required by 21 CFR part 1 subpart S as follows: Harvest and cooling logs are kept on paper in the pack shed office. Fresh-cut packing records and shipping bills of lading are entered into our inventory system and exported nightly to a cloud folder. All records are retained for two years and can be pulled up from the pack shed or the office.

2. Identifying Food Traceability List foods

Drafted from your intake

21 CFR 1.1315(a)(2)

Willamette Valley Greens, LLC identifies the following foods on the FDA Food Traceability List that it manufactures, processes, packs, or holds: - Leafy greens (fresh) (Food Traceability List category: Leafy greens (fresh)) - Leafy greens (fresh-cut) (Food Traceability List category: Leafy greens (fresh-cut))

3. Assigning traceability lot codes

Drafted from your intake

21 CFR 1.1315(a)(3)

Willamette Valley Greens, LLC assigns traceability lot codes as follows: Each fresh-cut run gets a lot code of the form YYMMDD-LINE-SEQ (for example 260911-L2-007), assigned when the raw greens are initially packed. Harvest and cooling records carry the field name and harvest date so they can be linked back to the lot. Under 21 CFR 1.1320(a), a traceability lot code must be assigned when the firm initially packs a raw agricultural commodity, performs the first land-based receiving of a food obtained from a fishing vessel, or transforms a food.

24-hour records readiness checklist (§ 1.1455)

  1. Keep every record as an original paper or electronic record, or a true copy, legible and stored so it cannot deteriorate or be lost (21 CFR 1.1455(a)).
  2. Be able to make all required records available to an authorized FDA representative within 24 hours of a request, together with any information needed to understand them, such as coding systems, glossaries, and abbreviations (21 CFR 1.1455(c)(1)).
  3. Confirm that records held offsite or by another entity can be retrieved and provided onsite within 24 hours; electronic records count as onsite when they are accessible from an onsite location (21 CFR 1.1455(b), (c)(2)).
  4. For a request tied to an outbreak or recall, be ready to provide the foods and date ranges or traceability lot codes named in the request within 24 hours, including when the request is made by phone (21 CFR 1.1455(c)(3)).
  5. Be ready to provide the KDE records as an electronic sortable spreadsheet, unless the firm qualifies for one of the small-entity exceptions in 21 CFR 1.1455(c)(3)(iii).
  6. Retain records for two years from the date the firm created or obtained them (21 CFR 1.1455(d)).
  7. Provide an English translation of any record maintained in another language within a reasonable time of an FDA request (21 CFR 1.1455(c)(4)).
  8. Confirm the plan's point of contact includes a phone number, which the rule's definition of point of contact requires (21 CFR 1.1310).
  9. State the format and location of the records in the traceability plan, as 21 CFR 1.1455(g) requires through 21 CFR 1.1315(a)(1).

Use this plan to coordinate your own review, not as legal advice or proof of compliance. Tracelane does not certify compliance with the FDA Food Traceability Rule and does not file anything with FDA. Your team is responsible for the facts, for the records behind each register, and for anything submitted to FDA.

This is a real output of the same pipeline a paid order runs — the written plan with a citation on every element, the register columns for each activity, and the readiness checklist. Your own intake produces the same structure for your firm.
